The reason for this, is surely not having a related HR policy that cover all details and instructions that prepared in compliance with the relevant legislation.

Having an HR policy in place is important for companies for several reasons. An HR policy provides a structured framework that guides both – management and employees in their interactions and ensures that the organization operates smoothly and fairly. We can consider its importance through different aspects:

  1. Consistency and Fairness;
  2. Legal Compliance;
  3. Employee Rights and Responsibilities;
  4. Company Culture and Values;
  5. Conflict Resolution;
  6. Performance Management;
  7. Employee Retention and Satisfaction.

Consistency and Fairness:

HR policies make sure everyone is treated fairly and the same way in similar situations, preventing favoritism. A lack of fairness in the workplace often serves as a catalyst for a range of subsequent issues, including decreased motivation, diminished emotional well-being, reduced productivity, and a reluctance to commit to long-term tenure with the company. They set clear rules for how employees should behave, what’s expected of them, and what they’re responsible for, helping to avoid confusion and disagreements.

Legal Compliance:

HR policies help the company follow all relevant labor laws, reducing the chance of legal problems or fines. They protect the company from lawsuits related to things like discrimination or wrongful termination by clearly stating what’s allowed and what’s not. Moreover, making everyday operations smoother it provides clear procedures for things like hiring, promotions, and terminations – each procedure must be in compliance with the effective up to date legislation. Even in terms of crisis preparedness the policy helps companies to be prepared for emergencies or unexpected events, like layoffs, clearly indicating all terms and conditions of a process.

Accurate legal compliance is also a good image for a company and enhances its reputation.  Further, high reputation means trust and trust means regular growth in business.

Employee Rights and Responsibilities:

HR policies clearly explain what employees are entitled to, such as benefits and leave, and what their responsibilities are. Employees frequently seek clarification from HR regarding these issues, and the absence of a consistent policy can lead to misunderstandings and confusion. They provide ways for employees to handle issues, report problems, and get help, making them feel safe and valued which is very important factor for companies.

Company Culture and Values:

HR policies support the company’s culture and values by setting standards for acceptable behavior that match the company’s goals. Starting from email writing culture, communication with clients, communication among staff members, holding meeting culture to giving a feedback culture – everything should be clearly described in the policy. We shouldn’t deny its importance for a company, as exactly this culture in a whole creates a company’s authority and status. Such policy also helps new employees understand what the company expects from them and how things work.

Conflict Resolution:

While no company is immune to workplace conflicts—given that these issues can significantly impact key aspects of work—having a well-defined HR policy is essential for effectively managing and resolving such situations. Despite our best efforts, all of us are human beings and unfortunately conflicts may arise, but a comprehensive policy helps ensure they are addressed promptly and fairly. HR policy offers a clear process for resolving conflicts between employees or between employees and management, promoting a peaceful workplace. This ensure any disciplinary actions are applied fairly and consistently.

Performance Management:

HR policies guide how employees’ performance is evaluated, ensuring it’s done fairly and consistently. Clear described feedback regime with exact methodology and timeline here can play also motivational role for an employee to set and achieve his/her goals in career path during an employment period in the company.

HR policy provide a framework for employee development, including training and career advancement.

Employee Retention and Satisfaction:

Clear and fair HR policies build trust between the company and its employees, leading to higher job satisfaction and better employee retention. As already mentioned, having good HR policies enhances the company’s reputation both with employees and the outside world.

Policies related to flexible work hours and leave help employees maintain a healthy work-life balance, making the company a more attractive place to work nowadays. This is one of the more important factors, as employees would also like to have a time for themselves, families, self-care and development. Once an employee is satisfied about personal life, it surely will affect to work performance as well.

In Summary:

HR policies are essential for creating a fair, organized, and legally compliant workplace. They help manage employee relations, improve efficiency, and build a positive company culture. One of course, can choose a way to search every time the relevant legislation, survey different source trying at the same time to keep the situation under the control, explain the staff that “this is the decision of the management”, try to convince the necessity of the termination of a contract with an employee, or extension of the contract, etc. We can enhance this list quite a lot. The main point here is to have one clear policy with legal compliance that exactly answers to every possible question and sets discipline in the company.
